How we chose these platforms, and how to read the list

Two filters: relevance to day spas, wellness spas and small groups running one to five locations with roughly three to twenty-five staff, and whether current pricing could be read on the vendor's own website in September 2026.

There is no number one and no score, because the best spa management software for a six-room day spa is rarely right for a two-site medspa. No product was tested hands-on. Timely and Square Appointments are absent for one reason: their current pricing could not be verified on official sources.

Three pricing terms used below

  • Bookable calendar — one schedule a client can book into: a staff member, sometimes a room or machine.
  • Quote-only pricing — the vendor publishes no price, so the only way to get one is to ask.
  • Card-present rate — the percentage charged when a card is tapped or swiped, normally lower than the online, card-not-present rate.

The nine platforms, by what they suit

Mangomint — best for spas that want transparent per-user, per-location maths

Mangomint publishes $120 per month base plus $10 per additional user, with its own example of $130 for base plus one user. Additional locations are $120 each. The base covers scheduling, payments, online booking, client management, forms, staff management, reporting and integrations. Processing is published: 2.45% + $0.15 in person, 2.90% + $0.30 virtual. Add-ons are priced separately: Phone $70 per line, Marketing from $30, Payroll $50 plus $8 per worker.

Trade-off: the add-on lines stack, and a second site adds $120 before anyone uses it.

Vagaro — best for small teams on a tight budget

Vagaro shows a standard rate of $30.00 per month and a promotional $23.99, described as an exclusive rate for the first six months. Price is set by number of bookable calendars, from one ("Just Me") up to seven or more. There is a 30-day free trial, a free card reader with a Vagaro Merchant Services signup, and a stated cancel-anytime, no-cancellation-fee policy.

Trade-off: the trial excludes email marketing, text marketing and the branded app, so those are paid add-ons whose prices are not published — nor is the per-extra-calendar increment or the processing rate.

GlossGenius — best for a small spa that wants flat, published payment processing

Beauty and wellness tiers are Standard $28/mo ($24 annual), Gold $56/mo ($48) and Platinum $168/mo ($148); medspa tiers are Practice Essentials $168/mo ($148) and Practice Advanced $298/mo ($248). Processing is the standout: a flat 2.6%, with no Tap to Pay, card-on-file or manual-entry fees. Instant payouts add 1.8%.

Standard covers a booking site, unlimited client notifications, email and text marketing, inventory and retail, packages and memberships. Gold adds forms and waivers, Google Booking and Reviews, an automated waitlist, time tracking and room and resource management.

Trade-off: room-aware booking is a Gold feature, so a treatment-room spa cannot live on Standard.

Booksy — best for spas that want marketplace-driven new-client discovery

Booksy publishes $29.99 per month plus tax and $20 per additional staff member, describing all features as included with no hidden fees: unlimited bookings, marketing messages, reminders, gift cards, memberships. There is no commission on clients you bring yourself; with Boost on, Booksy takes 30% of a Boost client's first visit. Processing is published in full: 2.69% + $0.30 mobile or keyed, 2.49% + $0.10 with a Booksy reader, 2.49% + $0.20 Tap to Pay. Next-day payouts are free; 30-minute payouts cost 1.5%.

Trade-off: a ten-person spa pays for nine extra staff on top of the base, and Boost's first-visit commission is a real acquisition cost.

Boulevard — best for higher-touch front-desk and client experience

Boulevard's Salon and Spa tiers are priced per location per month: Essentials $140 (up to five professionals, 100 texts, 500 email blasts), Premier $234 (unlimited staff, 250 texts, 1,000 blasts) and Prestige $328 (adds Forms, 2,500 texts, 10,000 blasts). Enterprise is bespoke, with no published price.

One caveat matters here. The displayed prices reflected a limited-time summer discount of 10% off annual billing, so list prices may be higher outside a promotion. Get the standard and renewal rates in writing. Processing rates are not published; Boulevard's FAQ describes Boulevard Offset, where clients cover 3% of card fees and the business pays 1%.

Trade-off: the highest published entry point here, charged per location.

Phorest — best for spas that want migration and training bundled in

Phorest is pricing on request: no published prices, and a demo rather than a free trial. Salon and spa tiers are Starter, Grow, Ultimate and Elite; med-spa tiers are Core, Elevate and Elite Aesthetics. The stated minimum is 3+ staff. All plans include unlimited devices, unlimited staff, and custom setup, data migration and training — the only vendor here whose pricing page we checked states that outright. Markets served, per its site: Ireland, the US, UK, Netherlands, Finland, Germany, Canada, Australia and the UAE.

Trade-off: with no published price and no trial you cannot compare Phorest on budget without a sales call, and the staff minimum rules out solo therapists.

Mindbody — best for spas that want consumer-app exposure

Mindbody publishes one figure: Starter, starting at $99 USD per month per location, covering business management, integrated payments, website widgets, a business website, a listing in the Mindbody consumer app, and basic reporting. Above that the prices stop. Accelerate is quote-only and adds advanced analytics, room and resource management, client Pick-a-Spot and promo codes. Ultimate is also unpriced, adding email and SMS campaigns, lead management and AI Concierge. The consumer-app listing is the real differentiator: a discovery channel, not only a booking screen.

Trade-off: room-aware booking sits on Accelerate, which has no published price, so a treatment-room spa quotes rather than compares.

Zenoti — best for multi-location and medical-aesthetics depth

Zenoti is pricing on request: its page publishes no figures and states that multi-location pricing is customised to your footprint and needs. It serves salons, spas, medspas, barbershops and fitness businesses of every size, and its site puts clinical services front and centre — injectables, laser, IV therapy, medical weight loss, dermatology. If you deliver treatments that need charting and protocol tracking, that coverage is the argument for it.

Trade-off: with no published price or contract minimum, a small single-site spa cannot judge affordability without a quote.

Also worth shortlisting: Fresha and Meevo

Fresha offers Independent (one bookable team member) and Team (multiple), plus Enterprise at custom rates for 20 or more, priced on bookable team members. There is no per-appointment booking fee, and the trial is 7 days, no credit card. A marketplace new-client fee exists as a one-time charge per new marketplace client, but the percentage is not published, so none is given here. Fresha's pricing page also localises by country, which is why no USD figure appears above.

Meevo, from Millennium Systems International, lists salon and spa tiers at Lite $129/mo (reg. $179), Essentials $229/mo (reg. $299) and Premier $329/mo (reg. $449), plus med spa tiers at $229 and $329. Every one of those figures is a limited-time promotional rate for new customers and requires an annual contract.

Where spamini is weaker

Three things spamini does not do as well as alternatives on this list.

Clinical depth is narrower. For medical-aesthetics charting and protocol tracking, Zenoti or a dedicated medspa product covers more ground.

There is no consumer marketplace. Booksy, Fresha and Mindbody put your business in front of people already searching their apps. spamini has no equivalent channel, so new-client discovery stays your job.

The integration ecosystem is smaller than the largest platforms carry. If your stack depends on a particular accounting, marketing or hardware integration, check it exists first.

What a spa actually needs: must-have versus nice-to-have

Score candidates against your must-have list before you look at price. A plan that costs less and fails one must-have is not the cheaper option.

A hypothetical example. For a six-therapist day spa with a retail shelf, every must-have applies, with room-aware booking and retail-capable POS as the hard filters. Clinical charting drops out.

What does spa management software cost beyond the subscription?

The advertised subscription is not what you pay. Seven layers decide the real figure, and at meaningful card volume the processing bill can exceed the subscription. All rates below are the vendors' own, published as of September 2026.

1. Subscription multipliers. Cost scales per location, per user, per staff member or per bookable calendar. Using Mangomint's published figures: its own example of $130 a month covers base plus one user, and a second location is a published $120, so two sites reach $250 before add-ons. Booksy adds $20 per extra staff member; Boulevard charges per location; Vagaro prices by bookable calendar without publishing the increment.

2. Payment processing. Three vendors publish rates: GlossGenius a flat 2.6% (instant payouts +1.8%), Booksy 2.49%–2.69% plus a per-transaction fee, Mangomint 2.45% + $0.15 in person and 2.90% + $0.30 virtual. Vagaro, Fresha, Zenoti, Phorest, Mindbody and Boulevard publish none — ask, and get the answer written into the contract.

An illustration using an assumed volume: a spa taking $40,000 a month in card payments would pay $1,040 at GlossGenius's published flat 2.6%. The $40,000 is hypothetical, chosen to make the arithmetic visible rather than to describe typical spa revenue. Half a percentage point at that volume is roughly $200 a month.

3. Add-ons. Mangomint publishes Phone $70 per line, Marketing from $30, and Payroll $50 plus $8 per worker. Vagaro's trial exclusions confirm that email marketing, text marketing and the branded app are paid add-ons, though the prices are not published. Where an add-on price is unpublished, treat the line as unknown rather than small.

4. Messaging allowances. Boulevard includes 100 texts and 500 email blasts on Essentials, rising to 2,500 and 10,000 on Prestige. Fresha allows 20 messages and 50 marketing emails a month, per team member on Team. Most vendors here publish no overage rates; Fresha does, but localises them. Ask what a text costs once the allowance runs out.

5. Hardware. Card reader, terminal, tablet, receipt printer, cash drawer, barcode scanner. The one verified hardware fact here is Vagaro's free card reader with a Merchant Services signup. Otherwise ask what is required and whether existing kit can be reused.

6. Training and staff time. Budget hours, not dollars. Someone has to learn the system, rebuild the service menu and retrain a front desk mid-trade.

7. Promotional versus list price. Boulevard's figures reflected a limited-time 10%-off-annual discount, Meevo's are promotional new-customer rates on an annual contract, and Vagaro's $23.99 covers six months against a $30.00 standard rate. Ask what you pay in month thirteen.

How do you switch spa software without losing client history?

Switching cleanly is an export problem, not a software problem. Copy your client, appointment, membership and gift-card data before cancelling anything, get a field-level list of what the new vendor will import in writing, and run an overlap period instead of flipping a switch.

Pull this before you cancel anything:

  • Appointment history, not just upcoming bookings
  • Client notes and treatment records
  • Membership and package balances
  • Gift-card and voucher balances, with expiry dates
  • Product inventory with cost prices
  • Staff records and commission rules

Importing contacts and importing history are different jobs, and vendors sometimes say "migration" for the first while you assume the second. A client list without visit history turns every regular into a stranger at the front desk. Ask who does the work: Phorest states setup, migration and training are included, and every other vendor should answer in writing.

Pick your quietest trading week and keep the old system readable through the overlap. Train the front desk before the therapists, because reception carries day one. In week one, check that bookings and reminders fire, deposits are taken correctly, balances match your export, and the till reconciles.

What are the red flags in a spa software contract?

Each is a question, not a dealbreaker. What matters is whether the vendor answers plainly.

  • Annual commitment required for the advertised price — verified for Meevo's promotional rates. Ask the monthly price with no commitment.
  • A promotional rate that reverts — ask for the renewal price in writing.
  • Data-export charges or delays — can you export full client and appointment data at any time at no cost? A good answer is yes, standard format, immediately.
  • No written commitment on what migrates — ask for a field-level list.
  • Long notice periods, auto-renewal and early-termination fees — how many days' notice ends the contract? Vagaro states cancel anytime with no cancellation fees; use that as your benchmark.
  • Processing rates missing from the contract — is the rate written in, and on what notice can it change?
  • Seat definitions that inflate — bookable calendars, logins and staff members differ. Ask which you are billed for.
  • Quote-only pricing with no price-increase cap — Zenoti and Phorest quote rather than publish. Ask what limits future increases.
  • Minimum staff counts — Phorest states a 3+ staff minimum.
